Registry lookups: why you might not appear

Exact-name matching

Several registries match names exactly. California's search is the documented case: search the name on the certificate, character for character — a maiden name where the registry holds a married name (or the reverse) returns nothing. Before concluding anything from an empty search, search every name you have been certified under.

The California invisibility problem

In California, an expired certification returns no result at all — not "expired," nothing. To an employer, a lapsed aide and a never-certified person look identical. If your California search comes back empty and you were once certified, the answer may be a lapsed record, and the route is reactivation (CDPH 283C), not a brand-new application. The registry's line is (916) 327-2445.

The wrong-registry check

Federal rules require a facility to check the registry of the state where the aide will work (42 CFR 483.35). A clean record in the state you left proves nothing in the state you're entering — and a finding in any state matters everywhere, because facilities must also check for findings across registries. If you've worked in three states, expect three lookups, and know what each one says before an employer does.

What to do with a wrong or missing record

Records get fixed with documentation: certificates, pay stubs, employer statements. Start with the registry's own correction process (your state page links it), keep copies of everything you send, and follow up by phone — registries are phone-era institutions, and a call moves what a form doesn't.
